Project Coordinator (Part-time)
Up to 22.5 hours per week (three days) | Home-based | £275 per day/£36.67 per hour
At Agenda, we help charities, NGOs and mission-driven organisations use strategic communications to create positive social change. Our clients work on some of the world's biggest challenges - from medical aid and climate change to health, housing and workers’ rights.
As our consultancy grows, we're looking for someone who loves bringing order to complexity.
This isn't a traditional admin role. It's an opportunity to become the operational heart of a growing consultancy, helping our projects run brilliantly while building smarter systems that make everyone's work easier.
If you're the sort of person who gets genuine satisfaction from colour-coded spreadsheets, beautifully organised information, smooth-running projects and finding better ways of doing things, we'd love to hear from you.
The role
You'll work across every part of the business, supporting our directors and wider team to deliver exceptional work for clients.
One minute you'll be setting up a new client project, the next you'll be updating project plans, preparing workshop logistics, tracking budgets or improving one of our internal systems.
You'll quickly become the person everyone relies on because you always know what's happening across the business.
You'll also have the freedom to improve how we work. We don't just want someone to follow our processes – we want someone who enjoys making them better.
What you'll be doing
Coordinate client projects from proposal through to completion
Keep project plans, documentation and action trackers up to date
Schedule client meetings and workshops
Track budgets, project hours and invoices
Help maintain an overview of every live project across the agency
Spot risks and bottlenecks before they become problems
Improve our internal systems, templates and ways of working
Organise proposals, documents and knowledge so they're easy to find
Support colleagues with day-to-day operations and administration
Help us embrace AI and digital tools to work smarter
About you
You're someone who enjoys making things run smoothly. You don't panic when there are lots of moving parts. Instead, you naturally create structure, prioritise what matters and make sure everything gets done.
You'll probably recognise yourself in many of these:
Exceptionally organised
Calm under pressure
Highly proactive
Detail-oriented
Curious about improving processes
Comfortable learning new technology
Friendly and collaborative
Reliable and someone people trust to get things done
You might currently be working as a:
Project officer or administrator
Operations coordinator
Programme support officer
Secretary or personal assistant
Editorial assistant
Experience we'd love
Coordinating multiple projects simultaneously
Maintaining accurate documentation
Supporting project budgets or financial administration
Using project management software
Working in an agency, consultancy or professional services environment (helpful but not essential)
Using AI tools to improve productivity
What success looks like
Within your first year you'll have:
Become the organisational hub of Agenda
Reduced the administrative burden on our consultants and directors
Improved visibility across all projects and budgets
Helped us introduce smarter systems and processes
Made it easier for everyone to focus on delivering brilliant work for clients
What we offer
Up to 22.5 hours per week (3 days), worked flexibly
Home-based working
£275 per day/£36.67 per hour (7.5 hours)
Flexible working that fits around life
Interesting, meaningful work with organisations making a positive difference
A supportive, collaborative team that values new ideas
A role that will grow as the business grows
